What free vending placement actually means
When people hear “free vending,” they often assume there is a catch. There is a simple reason it works. A vending company places and services the machine at no cost to the location, and the products sold cover the cost of running it. The location gets a useful amenity without buying equipment, stocking shelves or calling repair techs.
That only works when a location has enough daily traffic to keep a machine busy, which is why qualification matters. If you are weighing this against owning a machine yourself, read free vending placement vs. buying your own machine. Below is exactly how free vending placement works with Stellar Vending, from first request to first restock.
Step one: request a machine
It starts with a short request using the form on our home page. You tell us about your location: what kind of place it is, roughly how many people are there each day, and where in the valley you are. You can request a free machine here.
We place machines across the Las Vegas Valley, including Las Vegas, Henderson, Summerlin, North Las Vegas, Spring Valley, Enterprise, Paradise, Green Valley, Centennial Hills and southwest Las Vegas. We do not serve locations outside the valley yet.
Step two: we confirm qualification in one business day
Within one business day, we let you know whether your location qualifies. Most locations with 50 or more people on-site daily do. That could be an office, a gym, an apartment community, a hotel, a hospital, a warehouse or a school.
Each type of location has its own needs. Our industry guides go deeper:
- The Las Vegas office breakroom upgrade
- What gym members actually buy
- Why a 24/7 snack amenity helps apartments keep residents happy
- Hotel vending for guest floors, lobbies and back-of-house
- Feeding the night shift at hospitals and clinics
- Warehouse breakrooms that keep every shift fueled
- Healthy school and campus vending
Step three: a free site visit
Next, someone from our local team visits your location at no charge. We look at the spot you have in mind, check that there is a standard 110V outlet nearby, and walk the path from the entrance so we know the machine will fit through doorways and elevators.
We also ask about your people. Who uses the space, what hours they keep, and what they wish was available. In a city that runs 24/7, a night shift crew needs something different from a nine-to-five office.
Step four: we recommend a setup
Based on the visit, we recommend the right machine or combination. Options include touchscreen snack machines, glass-front drink machines, combo machines and AI smart coolers, which are glass-door fridges that open with a card tap, use cameras to see what is taken and charge only for what you take.
Smart coolers are a strong fit where people want fresh food, salads, meals and cold drinks, which matters in the Las Vegas heat. Compare the options in smart cooler vs. vending machine and micro market vs. smart cooler, or browse our vending machines and smart coolers.
Tip: If you already have a machine from another company, tell us during the site visit. We plan a smooth swap when your current agreement ends. Our guide on how to switch vending companies covers the timing.
Step five: installation in about 7 days
Once you approve the setup, installation typically happens within about 7 days of the site visit, depending on the machine. We handle delivery, placement and the first stocking. Machines can be custom wrapped so they look clean and modern in your space.
Every machine takes tap-to-pay, chip cards, Apple Pay and Google Pay, with cash available on request. Here is why cash-only machines cost locations sales.
Have a spot in mind? Tell us about your location and we will confirm within one business day.
Step six: stocking from real data
Every Stellar machine reports stock and sales live. That means we restock based on what is actually selling, not guesswork. Busy locations are typically serviced 2-3 times per week, and fresh items in smart coolers are rotated 2-3 times per week with temperature monitored remotely.
We start with a lineup built for your crowd and adjust it from sales and requests. That includes healthy options like protein, low-sugar and better-for-you snacks, plus salads and fruit in smart coolers. Anyone can request a product by scanning the QR code on the machine.
Companies can also make items free or discounted for their team and be billed monthly. Our post for HR and office managers explains how that snack perk works.
Step seven: service, repairs and refunds
If something breaks, our local team is on site within 24 hours of a report. If a purchase does not go through, people can scan the QR code on the machine or use our report an issue form. Refunds go back to the card or phone used. Stellar never asks for card numbers.
For the people who manage buildings, that means no repair calls and no refund drawer. Read more in our guides for facility managers, property managers, commercial property owners and HOA boards.
Step eight: a simple agreement with 30 days’ notice
There is no long-term contract. Our placement agreement is simple and can be ended with 30 days’ notice. If the machine is not working for your location, you are not stuck with it. You can see why that matters in Stellar vs. the old-school vending company.
Where to start
Free vending placement is about as low-effort as a building amenity gets: you provide the spot and the outlet, and Stellar handles the rest. Check our FAQ for common questions, reach the local team on our contact page, or request a free machine and hear back within one business day.
